CORES User Group

The CORES User Group consists of Vanderbilt University Medical Center and the other institutions that are using the CORES system. (Partners) The User Group met for the first time in 2010. This conference was such a success; we have decided to hold a CORES User Group Conference once a year.  We encourage all institutions using CORES to attend and learn of the new enhancements, etc.

Institutions who are considering the CORES program will benefit tremendously by attending the Conference.  The current partners will be there to discuss all aspects of the program and how they have benefited by using CORES. Potential partners will be able to ask questions and talk with the people who are already using the CORES program.

CORES will be demonstrated throughout the conference and various users will present on best practices and lessons learned.  Users are welcome to send in additional suggestions for agenda items.

Frequently Asked Questions about CORES

Why should we be interested in CORES™?  What's in it for me?

CORES replaces many paper-based processes allowing for more efficient business operations.  CORES saves time and effort in billing, reduces paper, and while allowing the core managers to get back to science and customer service.  Internal accounts receivable is essentially eliminated.  The Office of Research is able to look at key business indicators across all cores and year-end reporting is greatly simplified.

How much training is involved?

The software is extremely intuitive.  Typically the Core Managers and Administrators receive about one hour of training and the PIs do not require any training.

What about updates and on-going support?

Vanderbilt provides unlimited functional and technical support. Vanderbilt continues to enhance the system and provides multiple releases each year.

Is this system tied to a specific ERP/Accounting system?
No, CORES will be configured to produce a specific output file based on your institution's general ledger format.
Is there a limit on the number of cores we can use with this system?
No, you add as many cores as you would like.  Vanderbilt currently operates over 100 cores with the system.
So what are the next steps?
Contact Vanderbilt for a demo.  Assuming you want to move forward Vanderbilt will work with you to configure the system for your needs, load your data and assist you with getting your pilot cores established.  It's that easy.

"Gentlemen, I must admit, the improvements you have made to the invoicing system have truly helped streamline the process. The template additions, center number search function, even the location of the curser when inputting a new order have helped make invoicing much more user-friendly.   Congrats on a job well done!"  - Vanderbilt Core

Hand Held Scanner

"I would like to say THANK YOU for being so efficient with your billing procedures. I receive an invoice ...after the service and the charges are posted in a timely manner to our ledgers.    I don’t know what exactly you changed, but thanks again -- you make my job of reconciling charges each month go much faster."     - Vanderbilt Administrative Assistant
With this new system in place, I will no longer have to spend 3-4 days each month manually entering invoices.
